Set up Follow Me for an extension

Ring an extension's desk phone alongside — or in sequence with — a mobile or other number, so calls still reach someone even when they're away from their desk.

Who this is for: admins and everyday users (their own extension)

Before you start

  • Follow Me is a premium feature. It's off by default — a SuperAdmin needs to switch it on for your account from the tenant Settings tab (directly, or via a plan/bundle that includes it). Being managed by a Phonovo partner does not automatically grant it. If you don't see a Follow Me tab on the extension detail page at all, it isn't available on your account — ask your provider or Phonovo SuperAdmin to enable it.
  • The extension already exists — see Create an extension and assign it to a user.
  • Any external numbers you want to ring alongside the extension, in international or UK format (for example, 07700 900123).

Steps

  1. In the sidebar, under Communication, select Extensions.
  2. Find the extension in the list and select the Configure icon (the sliders icon in the Actions column).
  3. Select the Follow Me tab.
  4. Tick Enable Follow Me.
  5. Choose a Ring Strategy: Simultaneous (ring everything at once), Sequential (ring one destination after another), or Enterprise (cascading — extra destinations join in as time passes).
  6. Under Destinations, select Add Destination. In the dialog, choose Extension or External Number as the Destination Type, then either pick an extension from the dropdown or enter a phone number. Set a Delay (seconds) — how long to wait before this destination starts ringing — and a Ring Timeout (seconds) — how long it rings before giving up. Select Add Destination to save it.
  7. Repeat step 6 for each destination you want. Use the up/down arrows next to a destination to reorder it, or the trash icon to remove it — this matters for Sequential and Enterprise strategies, where the order determines when each one rings.
  8. Under If No One Answers, choose what happens once every destination has been tried without an answer: Send to voicemail, Hang up, or Forward to another number (enter the number if you pick this option).
  9. Select Save Changes.
